The FCEF Friends of the Central Experimental Farm is seeking a part-time Office Manager
Our Organization
The FCEF (https://friendsofthefarm.ca) is a not-for-profit charity that helps to maintain and enhance the public areas of the Farm and raise public awareness about the Farm’s heritage value and its tree and plant collections.
Overview
We are looking for a part-time office manager to organize and manage our office operations, interface with the public, and act as a point of contact for our Members. The position reports to the Operations Director who is a member of the Board of Directors
Responsibilities
The successful candidate, under the direction of the Director Operations, will deal with operations of the FCEF, communicating effectively with the public, acting as a point-of-contact for volunteers and Members, and managing the office records and resources. Specific activities cover a wide variety of administrative duties to support the daily operations of FCEF, and include:
- Respond to, and route appropriately, enquiries and correspondence from the public, FCEF Members, and other organizations. This includes responding to phone calls, emails, and regular mail on behalf of the organization.
- Greet and assist visitors to our offices.
- Maintain organized, up-to-date electronic and paper files and records of the organization, including using and maintaining selected electronic databases.
- Arrange distribution of FCEF communications products including our quarterly newsletter, monthly Farm Notes, and event announcements.
- Provide administrative support for Board Directors and select volunteers in execution of special initiatives.
- Assist in event organization including in particular managing and tracking event registrations.
- Upload minor updates to the FCEF website and social media feeds.
- Execute basic e-commerce transactions, including record keeping and inventory control for FCEF books and greeting cards.
- Perform other administrative and office management tasks as required, to ensure the smooth functioning of the organization.
Qualifications
- Good communication skills in spoken and written English (some spoken French is desirable).
- Good interpersonal skills with the ability to interact with the public and with our volunteers in an efficient, professional and friendly manner, and to work collaboratively and productively in small teams.
- Ability to work well independently and to take initiative.
- Experience and a demonstrated excellence in office administration skills, including the ability to maintain a comprehensive system of record keeping and information management.
- Competency with a variety of software applications, such as spreadsheets, word processing and websites is essential. Competency with social media, e-commerce, and a willingness to learn other software is desirable.
Work environment
This is a part time position of 20 to 25 hours per week (to be determined in consultation with candidate). Salary range is from $21 to $25 per hour, depending on qualifications. The job is located on the Central Experimental Farm, in Building 75, NCC Scenic Driveway, beside the Ornamental Gardens.
